This policy explains what personal information we collect from students and parents/guardians using thegreatacademey.com, how we use it, and the choices you have.
In short
- We collect account details, payment proof (screenshots), and study activity — nothing more than we need to run the Platform.
- We don't sell your data or use it for advertising. We don't currently use analytics or tracking cookies.
- Payment proof is sent via WhatsApp, which is also subject to WhatsApp/Meta's own privacy terms.
- Where a student is under 18, a parent or guardian is involved in account creation and can manage their data.
- You can ask us to review, correct, or delete your information at any time.
1. Information We Collect
We collect the following types of information in connection with account creation, enrollment, and use of the Platform:
- Account information: name, phone number, and/or email address of the student and/or parent/guardian.
- Payment verification information: proof of payment (such as a screenshot or transaction reference) sent via WhatsApp for Orange Money, MyZaka, or bank transfer payments. We do not collect or store full card numbers, mobile money PINs, or banking passwords.
- Enrollment and usage information: which topics, bundles, or subjects a student has purchased and their access status.
- Study activity: usage of the AI Study Tool and Question Bank, including how many study sessions or question sets have been generated, for the purpose of enforcing fair-use limits.
2. Parental/Guardian Involvement for Minors
2.1Many students using the Platform are under the age of 18. Where the student is a minor, a parent or guardian must be involved in creating the account and is responsible for the accuracy of information provided and for payments made on the student's behalf.
2.2Parents/guardians may contact us at any time to review, correct, or request deletion of their child's information, as described in Section 8 below.
3. How We Use Your Information
We use the information collected to:
- Create and manage student/parent accounts
- Verify payments and manually unlock purchased topics, bundles, or subjects
- Provide access to the AI Study Tool and Question Bank, and apply fair daily usage limits
- Communicate with students/parents about enrollment, access, or support queries
- Improve the Platform and the accuracy of its content over time
We do not sell student or parent personal information to third parties, and we do not use student data for advertising.
4. How Payment Verification Works
Because standard online payment gateways are not yet fully supported for Botswana-based merchants, payment proof is currently sent to us manually via WhatsApp. Please note that any message sent via WhatsApp is also subject to WhatsApp/Meta's own privacy policy and terms, which govern how WhatsApp itself handles and stores messages on its platform. We only use the payment proof you send us to verify your transaction and manually unlock your purchased content — it is not used for any other purpose.
5. Third-Party Service Providers
The Platform is hosted and supported using third-party service providers (for example, our web hosting provider and, where relevant, service providers that support features such as the AI Study Tool). These providers may process certain information strictly to help us operate the Platform, and are expected to handle information securely and only for the purpose of providing their service to us. We do not permit these providers to use student or parent information for their own independent purposes.
6. Data Retention
We retain student and parent/guardian information for as long as the account remains active on the Platform. If you would like your data reviewed, corrected, or deleted — including if you no longer wish to use the Platform — you can contact us using the details in Section 8, and we will act on your request within a reasonable time, subject to any information we may need to retain for legitimate record-keeping (e.g. proof of a completed transaction).
7. Data Security
We take reasonable steps to protect the personal information we hold from unauthorized access, loss, or misuse. However, no method of storage or transmission over the internet is 100% secure, and we cannot guarantee absolute security.
8. Your Rights and How to Contact Us
You (or, for minors, your parent/guardian) have the right to:
- Ask what personal information we hold about you or your child
- Request corrections to inaccurate information
- Request deletion of your information, subject to Section 6

9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time, including as the Platform introduces new features or payment methods. Any changes will be posted on this page with an updated "Last updated" date. Continued use of the Platform after changes are posted constitutes acceptance of the updated policy.
